Imagine a new supplier contract with Acme Ltd. Over its life, five people handle it:
- Finance saves it to Finance › Suppliers › Acme › 2026
- Legal saves the signed copy to Shared › Legal › Signed
- Procurement keeps it in Procurement › Acme contract FINAL
- The contract owner files it under Contracts › A–C › Acme Ltd
- Someone else downloads it to their desktop “to file later”
Nobody did anything wrong. Each person filed it somewhere that made sense to them. But now there are five copies, possibly different versions, with different permissions and no shared metadata.
Why it happens
SharePoint gives people complete freedom over where to save files. Without a shared structure, every person makes their own decision, every time. Training helps for a while, but habits drift and new starters learn from whatever they find.
The hidden costs
- People work from the wrong version.
- Renewal dates get missed because nobody owns “the” contract.
- Retention is impossible to apply consistently.
- Finding everything about a supplier means searching several sites.
File once, to the record
The fix is to stop asking “which folder?” and start asking “which record?”. In FilePlan 365, the contract is filed once, to the Acme supplier record or the contract record. Everyone who needs it finds it there.
Finance, Legal and Procurement can each see it from their own sites or views, with the same metadata, the same version history and the same retention. Sharing a link replaces saving a copy.
One version of the truth
When a document has one home, version control works, ownership is clear and audit trails are complete. That’s the difference between storing files and managing records.
